Purpose
To ensure educational visits and off-site activities are planned and led safely, with clear educational purpose and appropriate supervision.
Scope
All off-site activities arranged by Evolution Education, including sport, cultural visits, employer visits and enrichment.
Definitions
- **Visit leader:** the staff member with operational responsibility for the visit.
- **EVC:** Educational Visits Coordinator (named through the Centre Manager / Leadership Team).
Responsibilities
- Leaders approve visits proportionate to risk.
- The visit leader completes planning, risk assessment and briefings.
- Accompanying staff follow ratios and emergency procedures.
- Parents and carers give informed consent where required.
Procedures
Planning and approval
Visits have clear aims, competent leadership, suitable transport and first aid cover. Risk assessments are completed and approved before departure.
Supervision
Supervision ratios reflect student need, activity risk and SEND. Registers and headcounts are maintained.
Emergencies
Visit leaders carry emergency contacts and follow incident procedures, including contacting the Centre and parents.
Evaluation
Visits are evaluated for learning impact and safety learning points.
Monitoring
The Leadership Team monitors implementation through learning walks, safeguarding reviews, incident analysis, staff feedback, student voice and commissioner feedback. Findings inform training and school improvement planning.

This policy is reviewed at least annually, or sooner following changes in legislation, statutory guidance, or significant incidents. Next formal review:

Legislation and guidance
This policy has regard to the Education (Independent School Standards)
Regulations 2014, Keeping Children Safe in Education (latest DfE edition), Working Together to Safeguard Children, the Equality Act 2010, the Data Protection Act 2018 and UK GDPR, and other DfE statutory and non-statutory guidance relevant to the subject of this policy. Where Independent School registration is completed, this policy will be reviewed against any updated registration conditions and DfE requirements.
