Purpose
To recruit safely and fairly so that unsuitable people are deterred and prevented from working with children, in line with KCSIE, Independent School Standards and equality law.
Scope
All paid and unpaid roles, including agency and contractor arrangements involving regulated activity or work with students.
Definitions
- **Regulated activity:** as defined in relevant safeguarding legislation.
- **Single Central Record (SCR):** the statutory record of recruitment and vetting
checks.
Responsibilities
- The Chief Executive Officer / Proprietor ensures safer recruitment compliance.
- Recruiting managers follow this policy for every appointment.
- At least one interviewer on each panel is safer-recruitment trained.
- HR / administration maintains the Single Central Record accurately.
Procedures
Advertising and application
Adverts and person specifications include safeguarding commitment. Applications require full employment history and explanation of gaps.
Shortlisting and interviews
Shortlisting is criteria-based. Interviews probe suitability to work with children. Online searches may be undertaken in line with KCSIE. References are sought and scrutinised, preferably before interview for shortlisted candidates.
Pre-employment checks
Before starting regulated activity, Evolution Education completes enhanced DBS with children's barred list check (where eligible), identity, right to work, qualifications, prohibition from teaching (where applicable), section 128 (where applicable), overseas checks where relevant, and medical fitness as appropriate.
Single Central Record
All required checks are recorded on the SCR and available for inspection.
Induction
New staff receive safeguarding induction, KCSIE Part 1 (or Annex A as applicable), this Code of Conduct, and role-specific training before unsupervised contact where required.
Monitoring
The Leadership Team monitors implementation through learning walks, safeguarding reviews, incident analysis, staff feedback, student voice and commissioner feedback. Findings inform training and school improvement planning.

This policy is reviewed at least annually, or sooner following changes in legislation, statutory guidance, or significant incidents. Next formal review:

Legislation and guidance
This policy has regard to the Education (Independent School Standards)
Regulations 2014, Keeping Children Safe in Education (latest DfE edition), Working Together to Safeguard Children, the Equality Act 2010, the Data Protection Act 2018 and UK GDPR, and other DfE statutory and non-statutory guidance relevant to the subject of this policy. Where Independent School registration is completed, this policy will be reviewed against any updated registration conditions and DfE requirements.
